- Cancellation Policy
Registrations may be canceled within 24 hours of submission for a full refund provided the registration is made more than 60 days prior to the Conference start date.
Cancellations requested after the 24-hour window, or registrations made within 60 days of the conference start date, are subject to the cancellation terms outlined in this agreement and may be non-refundable.
All cancellation requests must be submitted in writing.
2. Introduction
2.1. Welcome to Travel Vex INC, operating as Adventure Travels (“Travel Vex,” “we,” “us,” or “our”). These Terms and Conditions constitute a binding agreement between you and Adventure Travels.. By accessing or using our website, mobile application, or any of our services, you agree to comply with and be bound by these Terms and Conditions ("Terms"). If you do not agree with these Terms, please do not use our services.
3. Services
3.1. Travel Vex provides booking services for travel and tours, including but not limited to flights, hotels, car rentals, and vacation packages. Our platform allows users to search, compare, and book travel-related services.
3.2. All services are subject to availability and may be supplied by third parties. We do not guarantee their availability, accuracy, or performance.
4. Booking and Payment
4.1. To make a booking, you must provide accurate and complete information. You are responsible for ensuring the correctness of your booking details.
4.2. Payment is required at the time of booking. We accept various forms of payment, including credit/debit cards and other electronic payment methods.
4.3. Prices are subject to change based on availability and demand. Any additional fees, including taxes and service charges, will be clearly disclosed during the booking process.
5. Deposits and Refunds
5.1. A non-refundable deposit is required at the time of booking for all services. This deposit secures your reservation and is not subject to refund under any circumstances after 24 hours after registering.
5.2. “Deposits are generally non-refundable except in accordance with our Cancellation Policy, which allows cancellations within 24 hours of registration if made more than 60 days prior to conference start date. After that period, cancellation terms in this agreement apply.”
6. Changes and Fees
6.1. Changes to bookings, including modifications to travel dates, destinations, or service providers, are subject to availability and may incur additional fees. These fees are imposed by the relevant third-party service providers, such as airlines, hotels, and car rental companies.
6.2. Any requests for changes must be submitted in writing, and we will inform you of the applicable fees based on the provider’s policies. You are responsible for paying any change fees and any additional costs associated with your modified booking.
7. Responsibilities and Liability
7.1. Travel Vex acts solely as an intermediary between you and third-party service providers. We are not liable for any issues arising from the services provided by these third parties.
7.2. We are not responsible for any loss or damage resulting from delays, cancellations, or disruptions caused by third-party providers, force majeure events, or other factors beyond our control.
8. User Conduct
8.1. You agree to use our services for lawful purposes and in accordance with these Terms. You must not engage in activities that interfere with or disrupt our services or those of third-party providers.
8.2. You are responsible for maintaining the confidentiality of your account information and for all activities that occur under your account.
9. Photography & Media Release
9.1. By participating in this conference, you grant Travel Vex INC, operating as Adventure Travels, the irrevocable right to photograph, film, or otherwise record you during the trip.
9.2. Such images, video, or recordings may be used for promotional, marketing, and informational purposes, including but not limited to websites, social media, advertising, and printed materials, without compensation.
9.3. If you do not wish to appear in photographs or recordings, you must notify Adventure Travels in writing prior to the start of the conference. Reasonable efforts will be made to accommodate such requests; however, we cannot guarantee exclusion from all media.
10. Intellectual Property
10.1. All content on our website and mobile application, including text, graphics, logos, and images, is the property of Travel Vex or its licensors and is protected by intellectual property laws.
10.2. You may not use, reproduce, or distribute any content from our platform without our prior written consent.
11. Privacy
11.1. Your use of our services is governed by our Privacy Policy, which details how we collect, use, and protect your personal information.
12. Dispute Resolution
12.1. Any disputes, claims, or controversies arising out of or related to these Terms or your use of our services shall be resolved through arbitration. By accepting these Terms, you agree that any disputes will be resolved by arbitration in Middlesex County, New Jersey, as outlined below.
12.2. Arbitration will be conducted in Middlesex County, New Jersey, in accordance with the rules of the American Arbitration Association. The arbitration award shall be final and binding on both parties.
12.3. In the event that arbitration is not applicable, any legal proceedings related to disputes under these Terms shall be brought exclusively in the courts located in Middlesex County, New Jersey.
13. Governing Law
13.1. These Terms are governed by and construed in accordance with the laws of the state of New Jersey, without regard to its conflict of law principles.
14. Changes to Terms
14.1. We reserve the right to update these Terms from time to time. Any changes will be posted on our website, and your continued use of our services following the posting of changes constitutes acceptance of the revised Terms.
